Step by Step Quick Guide
1. Install DocSmart Server on to your server
(Windows 2000 or 2003 Server or Advanced Server,
or SBS 2000 or 2003) or a dedicated PC (Windows
2000 or XP)
2. Add the folders you want indexed to the 'docsmart'
catalogue, remembering to enter the share name of
the folders into the share name field in DocSmart
Server when adding the folders. NOTE - you only
need to add the top level shared folder to the
catalogue as all sub folders will be indexed. NOTE
- users can only see files that they have rights
and permissions to see as determined by their
existing network login profile so don't worry
about adding folders which are only intended to be
seen by certain people.
3. Go to a PC and log in to your network as
normal using the normal users login profile (so
that the DocSmart icon appears on the users
desktop) and then install DocSmart Client. NOTE -
the network user profile you use to log in to your
network needs LOCAL machine Administrator rights
to install DocSmart Client; you can remove these
rights after installation if you wish.
4. Once installation is finished run DocSmart
Client and you will be prompted to connect to an
index catalogue (this prompt only occurs after a
new install). The catalogue you want to connect
with is the 'docsmart' catalogue on your server so
type in the name of your server in the 'computer'
name field (or browse to the server and click on
it once and the name will appear in the computer
name field).
5. The 'docsmart' catalogue name will be the
default in the 'catalogue' field and even though
it may not appear immediately, just accept
the settings after entering your server's name in
the 'computer' name field. You can now 'Close'
this 'Administration' window. If you open it again
(via Indexing pull down menu) you should see your
server's name and the 'docsmart' catalogue name in
the appropriate fields.
6. That's it! DocSmart Server will be indexing
your chosen folders and once finished will
continually monitor all file activity and update
the catalogue accordingly. You can see the
indexing status under the 'Indexing' pull down
menu in DocSmart Server or Client. NOTE - All the
required system services to run DocSmart Server
and Client start automatically, there is nothing
to do, just open DocSmart and use it!
7. To search the server catalogue simply open
DocSmart Client and select Search option and type
in some keywords that are contained in the
documents you are searching for.
